INFORMATION TECHNOLOGY COMMITTEE MEETING NOTES
November 12, 2003
I. Welcome and Introductions

II. EBC Update - Scott Morris, AVCOR
Scott presented the group with a project
status update on the Executive Budget Committee. In it he provided: an overview of all EBC initiatives,
specific information regarding the particular initiatives that have an intersection
with Information Technology, and a review of the IT activities involved in
the IT transformation project and progress of the two IT project teams.
IT is defined as ITS or divisional IT organization as they currently
stand.
Members of the ITC noted that with the exception of a few campus leaders, a campus governance process is not being sufficiently used in the decision-making process. A campus governance model needs to be established that maps what is currently happening and solicits formal consultation from a steering committee with a broader perspective of the issues at hand. The work of the steering committee won’t take away from project workgroups; it will expedite their work because proposals will already have been communicated and discussed. The ITC would like information on the scope of projects before resources are allocated or new systems are purchased. The development and deployment of the AIS system was noted as an example of a good process with open dialogue about future plans. ITC would also like the process to be more visible on campus, similar to AIS. This will allow campus constituents to feel more involved and contribute their opinions and expertise to the process.
AVCOR put a governance structure in place because it had worked before in other instances. They are open to any governance structure that the campus wants.
Finally, it was noted that the IT community should develop its own process guidelines, principles, values and organization chart. The importance of the IT organization to be adaptive to ideas, people and changes was also stressed.
