INFORMATION TECHNOLOGY COMMITTEE MEETING NOTES

January 14, 2004

I.             Welcome and Introductions

II.             Announcements

 

Bill Hyder will continue to be chair of the Network and Telecommunications Services Advisory Committee (NTSAC) for the time being.

 

The Learning Technology Committee has been meeting regularly and are making significant progress. They will report to ITC in the Spring.

 

The Web and Portal Readiness Group will report to ITC at the next meeting.

 

III.       IT Transformation Project Status Update

 

The EBC met in December and approved IT and Service Center consolidation. Eleven project teams are being developed to work collaboratively on this process. Each month the Consolidation Planning Team (leaders of the 11 project teams) will present a status report to ITC and take the committee’s feedback back to their respective project teams.  At the end of the consolidation planning process a report will be given to the ITC and EBC.

 

ITC was presented with an IT Transformation Project Status Update.  The data collection team is gathering data to: provide a basis for understanding the various entities that are collectively referred to as IT, understand the order of magnitude as they consider various consolidation strategies, and inform the solutions design projects that will be engaged to transform the IT organization.  The data that was presented was incomplete, and is not shown here. 

 

Janine Roeth updated the group on the Service Delivery Model component. The team met from late September to December, and was comprised of 16 people from 10 divisions. Their guiding principles were:

 

Establish coherent delivery and value of IT services campus-wide through consolidation.

Produce cost savings for the university.

Focus on customer service.

Be adaptive and responsive.

Be open to the larger influences beyond the customer relationship.

Recognize people in the IT community as essential resources.

 

As the planning process continues, the EBC advisory group, comprised of Larry Merkley, Terry Schalk, Bill Hyder, Scott Morris, Mel Barracliffe and Pat LeCuyer, will brief the EBC.  The EBC officially meets once a month to review proposals. Also reporting to the EBC is an ad hoc finance group that will oversee various funding models.

 

ITS consolidation will take place over the next few years. It is likely that the process will start in June 2004.
